New MyCourses Data and Content Retention Policy

In January 2025, the University System of Georgia (USG) shared an approved policy on learning management system (LMS) data and content retention that applies to MyCourses. The implementation of the data and content retention policy will help ensure optimal performance and manage licensing costs associated with this vital resource. Since the USG adopted D2L Brightspace (MyCourses) in 2012, the number of courses and storage space used has grown to unsustainable levels, and data and content retention limits have become a necessity.

The policy states that courses generated by Grizzly Den within Banner will be deleted from MyCourses five years following the end of the semester in which the course was taught. For example, a course taught in fall 2020 may be permanently and irreversibly removed at the end of December 2025. MyCourses courses used for purposes such as assessment, portfolios and collaboration not associated with a course section in Grizzly Den are also subject to this policy. These courses are commonly referred to as non-Banner courses. The removal of data and content is necessary to ensure compliance with contractual agreements, optimize system performance, limit cybersecurity risks and ensure adherence to the .

Information Technology (IT) in coordination with the USG must communicate which courses will be removed at least 30 days before removal. Faculty are responsible for archiving data and content and ensuring that any data required for accreditation is preserved. IT can provide guidance on archiving data and content. Once notification has been sent, faculty are responsible for requesting assistance with archiving and preserving data and content.

MyCourses courses connected to a course section in Grizzly Den within Banner will be prioritized for removal before non-Banner courses. The first courses targeted for removal will be from 2019 and earlier. IT anticipates that course removal notifications will begin in March 2025, and removal will begin in mid-June 2025. Notification and guidance for non-Banner course content and data removal will be provided at a later date.

Content or videos hosted by third-party services, such as Kaltura and Zoom, integrated with MyCourses are not subject to removal under the MyCourses Data and Content Retention Policy. However, content and videos hosted in third-party services are subject to the retention and storage policies of these services.

Upon notification of removal, faculty should review the following options for archiving MyCourses data and content.

Grades, assignment submissions, quiz results and discussion posts that are archived and downloaded are considered FERPA protected data. As such, this data must be managed as described in .
